Aligned Enrollment Messaging and Navigate Chatbot

Currently, student enrollment and re-enrollment communications are delivered through SignalVine and EAB Navigate360. While SignalVine supports large-scale messaging, Navigate is used independently by multiple care units (including Academic Advising, Financial Aid, Student Success Programs, and the Registrar) in a fragmented and uncoordinated manner. As a result, students often receive duplicative, poorly timed, or inconsistent messages, while key risk indicators (e.g., financial aid status, academic progress, and registration readiness) are not systematically integrated into outreach. This project will establish a coordinated, milestone-driven communication strategy within EAB Navigate, supported by the temporary (1-year) use of SignalVine to ensure continuity of re-enrollment messaging during the transition. The initiative will centralize campaign design, create a shared campaign calendar aligned to the academic year, and integrate messaging across Undergraduate Foundations (UGF), advising, financial aid, career development, and upper-division completion milestones. A Part-Time Project Associate will support implementation by conducting a comprehensive audit of existing campaigns in EAB Navigate, building and maintaining the campaign calendar, transitioning SIgnalVine communications into Navigate, and monitoring engagement metrics. The associate will also document and analyze chatbot inquiries to identify gaps in communication and continuously improve the institutional knowledge base. The project will support both undergraduate and graduate students by delivering consistent, timely, and actionable communication at key points in the student lifecycle: from enrollment through graduation. By aligning messaging with institutional milestones and integrating communication across departments, this initiative will reduce over-messaging, improve coordination, and strengthen student engagement, re-enrollment, and completion outcomes at scale. This project will also strengthen institutional use of Navigate by embedding data-informed communication workflows into daily operations. Success will be measured through improved campaign engagement rates, faster response to financial aid and academic risk indicators, and increased student follow-through on key milestones such as registration, advising, and course completion.
