Software to Migrate Student Email to Microsoft 365
The university is moving all faculty, staff and student email to Microsoft 365 email hosted in the cloud. There are several reasons we must do this. First, our current on-premises email system will become end of life in 18 months. Second, Microsoft and the University are no longer focusing on deploying new services around on-premises email systems. This means John Jay students will not have access to the same features and services as their counterparts at other CUNY campuses. Finally, the cyber risk of running on-campus email systems is much greater than using a cloud-based Microsoft-hosted solution. We have two choices regarding how we move student email. First, we can choose to migrate nothing and students will eventually lose all email currently stored in their email accounts. Second, we can pay for migration software that will allow us to move student email to the new M365 environment by CUNY Computer Information Services and John Jay DoIT. This second option will maintain student access to their existing messages including information about course work, administrative responsibilities, financial aid information, events, etc. We believe the second option which provides uninterrupted access to past email is needed to minimize the disruption for our students. As a result, this proposal seeks to fund this migration software to ensure student email is migrated to the new system and access to critical information stored in email is not lost.
