M365 Email Migration

Over the summer, John Jay College will transition all email accounts to Microsoft 365 (M365). This CUNY-wide initiative will consolidate all email into a single Microsoft-hosted environment.

Once complete, faculty, staff, and students across the university will have one unified mailbox for all university-related communication.

CUNY-CIS and John Jay DoIT will migrate all faculty, staff, student, alumni, retiree, and departmental email accounts to Microsoft 365. Email will be available immediately through Outlook on the Web at https://outlook.com using your CUNYfirst login and password. Users may also need to reconfigure their mobile devices and desktop email clients (e.g., Outlook, Apple Mail). Support will be available through the Helpdesk and additional staff dedicated to assist during the transition.

  • Verify your CUNYfirst credentials before the migration by visiting home.cunyfirst.cuny.edu and confirming that you can log in.
  • Download the Microsoft Authenticator app to your mobile device.
  • Ensure you're using Outlook 2019 or later. If you need to upgrade, contact the Helpdesk as soon as possible.
  • Review support guides below on accessing Outlook on the Web, reconnecting your mobile device, configuring the Microsoft Authenticator, and setting up your email client.
  • Export any email rules you've created in Outlook or Outlook Web Access, as these will not migrate automatically.

Increased Storage: Each active faculty, staff, and student account will receive 100GB of storage for use across Email, OneDrive, and Microsoft Teams.

  • CUNY Login: Access your email using your CUNYfirst credentials: firstname.lastname##@login.cuny.edu.
  • Modern Email & Calendar Access: Your email will be hosted in Microsoft's secure cloud environment and accessible via Outlook on the Web, Outlook desktop, mobile devices, and Apple Mail clients.
  • Enhanced Collaboration Tools: All accounts will include access to Microsoft Teams, OneDrive, and SharePoint to enable seamless collaboration.
  • Unified CUNY Email: If you are affiliated with another CUNY campus or office, that email will also be linked to this account, along with a new @cuny.edu alias provided by the university.
  • Improved System Integration: University platforms such as EAB and Brightspace will benefit from more streamlined email delivery

  • Your Email Address Will Not Change. Your current @jjay.cuny.edu address will follow you to the new account.
  • Logging Into John Jay College Systems will still use your @jjay.cuny.edu email address for a username and the password you specified at reset.jjay.cuny.edu or during your last password reset with Duo.

Yes. CUNY Central IT and John Jay DoIT will begin migrating email for all current faculty, staff, and students starting in May 2025. After the transition, a final synchronization by Central IT will ensure that all mailbox contents have been transferred. Your existing John Jay mailbox will also remain accessible for a limited time, but only for archival purposes. All new @jjay.cuny.edu email will be delivered to your new Microsoft 365 mailbox hosted by Microsoft.

If you have completed the retiree account request process and your account has been active within the last 18 months, it will be included in the migration. This requires that you have logged into CUNYfirst during that period. If you're unsure about the status of your retiree account, or if you plan to retire before July 2025, please contact the Department of Human Resources to confirm your eligibility.

Departmental and general email accounts are currently under review by DoIT and CUNY Central IT. Individuals responsible for these accounts will have the opportunity to complete a form in May and June to ensure they are included in the migration.
